A quality control agent in India is a person or small firm that checks your orders at the factory on your behalf: during production, on finished goods and at loading. The job is narrower than a sourcing agent's, and the key test is the same for both: whom does the agent work for, and who pays?
If you already have a good supplier and want eyes on the floor, a QC agent may be all you need. If you are still choosing suppliers, read whether you can use an agent for just one service first.
What a QC agent actually does
- Reviews your specification and turns it into a checklist the factory understands.
- Visits during production to catch problems while they can still be fixed.
- Inspects finished goods against the approved sample and an agreed sampling plan.
- Draws samples for lab testing and sees them sealed.
- Supervises loading and reports with photos.
- Follows up corrective action with the factory after a fail.
QC agent, third-party inspector or sourcing agent?
A third-party inspection company sends different inspectors each time, and gives a standard report and a recognised certificate. A QC agent knows your product and the factory, so repeat orders improve. A sourcing agent adds supplier selection, audits, negotiation and document checks around the same QC work.
Choose a QC agent when the supplier is already approved and orders recur. Choose a third-party company when a bank, customer or regulator wants a named certificate. Choose a sourcing agent when the supplier itself is in question. The differences are laid out in agent inspection versus third-party inspection.
How to vet a QC agent
- Registration: ask for the business registration, GST and Importer Exporter Code details, and check them. See how to verify a sourcing agent is a registered business.
- Who pays them: they should be paid by you under a written fee, and should state in writing that they take nothing from factories.
- Product knowledge: ask for the name and background of the person who will visit, and what they have inspected before.
- Sample report: ask for one with details removed, and read it as described in choosing a third-party inspection company.
- Reference: ask to speak to one current overseas client, not just read a testimonial.
- Tools: do reports come with photos, measurements and a clear result, delivered quickly?
Red flags
- The factory recommended the agent or pays part of the fee.
- No written fee agreement, or a fee that changes after the visit.
- Every report passes. Ask how many lots they have failed in the last year.
- Reports arrive late, or without photos.
- The agent will not sign an NDA or give a named inspector.
A simple decision rule
If the question is "is this lot right?", you need QC. If it is "is this factory right?", you need an audit. If it is "who should I buy from?", you need sourcing. Most importers need all three over time, which is why a single agent covering the chain often costs less than three separate engagements. Compare the arrangements in sourcing agent versus buying agent versus trader. We cannot rank agents, so use the checks above on any firm you consider, including us.
What to put in the agreement
Whichever agent you choose, put the terms in writing: the scope and number of visits, the checklist the agent works to, the time limit for sending the report, who owns the photos and data, and what is confidential. Include the fee and what is billed separately, such as travel and laboratory costs at actual cost with receipts.
Also agree what the agent will do if the factory refuses entry or pressures the inspector. A good agent stops, tells you at once and does not sign anything on the factory's behalf. For wider contract points, see what a sourcing agent contract should include.
How we work
Quality control is part of our service, not an add-on sold by a separate team. We inspect during production and on the finished lot, supervise loading and have lots tested, and book third-party inspection on request at cost with receipts. One written fee is agreed in advance, and you pay the factory directly. Book a free sourcing review and we will say which of the three you need.
