To write a spice specification, list every property you will accept or reject on, give each a number and a test method, and have the supplier sign it. To get spice samples from India, ask for a sample drawn from a named lot, not a hand-picked jar, and send it to an independent lab.
A specification is a contract tool. If a line is vague, the argument on arrival is about meaning, not about the goods.
What should a spice specification contain?
Start with the product name, botanical name and form. Then add the lines below, each with a limit and a method:
Keep the specification short enough to be used. One page, with numbers and methods, is signed and followed. Ten pages of general language are filed and forgotten. Share it before you request samples, so the supplier sends a sample made to it. Then the sample is evidence of what the plant can do against your lines, not merely a pleasant surprise.
- Moisture, as a maximum percentage, measured by a named method.
- Purity or foreign matter, and the allowed level of admixture.
- Colour or active content where it matters, such as colour value in chilli or oil content in seeds.
- Particle size or mesh for ground products.
- Microbiology and contaminant limits for your market: pesticide residues, aflatoxin, heavy metals and, where relevant, ethylene oxide.
- Packing, net weight, labelling and shelf life remaining at shipment.
Where to find the template
Writing an agri product specification gives a full template, and the tolerances to set for moisture, purity and foreign matter explains how tight to go. Do not copy a competitor's limits without checking the supplier can meet them. A limit the plant cannot hold becomes a rejected lot or a quiet waiver.
Finally, agree how a dispute is settled. Name the independent lab, the method and the retained sample that will be used, and say that its result decides. This one sentence removes most of the argument that follows a quality complaint, because both sides have already accepted how the answer will be found.
How to get spice samples from India
Ask for two samples. A product sample shows the grade the supplier can make. A lot sample is drawn from the stock you will actually buy, ideally by an independent person who also seals and signs it. Getting agri samples from India covers the process, and the difference between pre-shipment and approval samples explains why you need both.
Courier shipping of food samples can be limited by destination rules, so ask your broker or the courier what is allowed. Mark the sample as having no commercial value only if that is true and accepted by customs. Keep a retained sample at both ends.
Test, compare and record
Send the sample to an independent lab and compare each line with the specification. Record the result and keep the retained sample. When the container arrives, the same tests on the same method make the comparison fair. Reading a lab certificate helps with the report.
