How to verify a tile supplier in India: a checklist

A step-by-step checklist to verify a tile supplier in India, from company registration and factory address to references and a first test order.

· 3 min read · Creston & Co

To find a reliable tile exporter in India, verify the supplier in layers: the legal company, the physical factory, the track record and finally the product. Each layer catches a different problem, and skipping one leaves a gap.

This is the supplier verification checklist we use as a starting point. It works for any Morbi factory, large or small.

Step 1: Is the company legally real?

Ask for the full legal name, registered address and registration numbers. In India, companies are registered with the Ministry of Corporate Affairs, and exporters hold an Importer-Exporter Code and a GST registration. Check the details on the official public registers, and check that the name matches the invoice and the bank account.

Ask for the export history: which countries, and whether it exports under its own name. Confirm that the name on previous export documents matches the name you are dealing with.

Step 2: Is it a manufacturer, and does the factory exist?

Many sellers are traders, which is not wrong but changes who controls quality. Ask where each product is made and by whom; see trader or manufacturer. Check the address of the plant on a map, and ask for a live video walk through the production floor, showing presses, kilns and the sorting line.

The surest check is a visit or an independent audit. What a factory audit should contain lists what to look at.

Step 3: What does its track record show?

Ask for references from export customers in markets like yours, and call at least two. Ask them about shade consistency, grading, delay history and how complaints were handled. Our guide checking a Morbi exporter's history goes through what to ask.

Look for the common complaints buyers report; see common complaints from tile importers. Ask the factory how it deals with each.

Step 4: Does the product meet the standard?

Request recent test reports for the product you want, dated and from a recognised laboratory, and compare them with the standard your market needs. Our guide to tile factory certifications explains what certificates prove and what they do not.

Order samples, then have them tested yourself. A test report supplied by the seller shows what the seller chose to test.

Step 5: Is the commercial setup safe?

Check that the proforma invoice and contract name the right companies, describe the goods in detail and tie payment to inspection. Read proforma invoice for tiles: what to check and advance payment for tiles.

Start with a trial order. It tests the factory's real behaviour: communication, packing, timing and consistency between sample and shipment.

Quick checklist

  • Legal name, registration, tax and export codes match across all documents.
  • Factory address verified, and production seen live or in person.
  • Manufacturer confirmed, not assumed.
  • Two or more export references called.
  • Test reports requested and samples tested independently.
  • Payment to the exact legal name, tied to inspection.

Next step

Keep a file for each supplier with copies of what you checked and when. Verification is not a one-off: companies change ownership, move plants and subcontract. Repeat the key checks before each large order, and be alert if a long-standing supplier suddenly asks for new bank details or a different delivery arrangement.
