To import tiles from India, write a specification, find a verified manufacturer, approve samples, place a written order, inspect before loading, ship under an agreed term and clear the goods at destination. Importing tiles from Morbi follows the same path, with the cluster's ports and factories.
This is the whole sequence as a checklist, with a link to the detail for each step.
Steps 1 to 3: specify, find, sample
Start with what you need before you talk to any supplier:
- Step 1: Write the specification: tile type, size, thickness, finish, designs, grade and the tests you need. See how to write a specification for vitrified floor tiles.
- Step 2: Find manufacturers, not just sellers, and check each one, using how to tell a trader from a manufacturer.
- Step 3: Order samples from production and keep a counter-sample, as in how to get tile samples from Morbi factories.
Steps 4 to 6: audit, quote, order
Audit the plant for capacity and quality systems, using what a factory audit report should contain. Collect written quotes on the same spec and compare them in the same unit and Incoterm. Choose the term with FOB, CIF or DAP.
Place the order with a written contract or proforma invoice that states grade, shade and calibre rules, packing, lead time, payment terms and what happens if the goods are not as agreed.
Steps 7 to 9: produce, inspect, ship
Follow production, then inspect the goods before they are loaded, while you can still fix problems. Check the shade, calibre, grade, packing and marking, and have a lot tested if your market requires it. Supervise loading and photograph the container.
Collect the export documents listed in what documents are needed for tile exports from India and send them to your broker.
Steps 10 and 11: clear and receive
Your customs broker clears the goods using the document pack. Duties and taxes depend on your country; confirm the current rules with your broker or customs authority. Insure the cargo if the term leaves insurance to you.
On arrival, open the container with care and check it against the packing list and your counter-sample, using what to check when a tile container is opened. Record any damage immediately and claim within the time limits in your contract and insurance.
What mistakes do first-time importers make?
The usual mistakes are ordering without a counter-sample, accepting a quote that does not state the grade, skipping the pre-shipment inspection, and leaving insurance to chance. Each is cheap to prevent before shipping and costly to fix afterwards.
Another is underestimating the time. Allow for sample approval, production, inland transport, sailing, clearance and delivery, and add a margin for fuel-related delays and port congestion. Check with your forwarder for current sailing times on your route.
Plan the cash flow as well. Most factories ask for an advance at order and the balance against documents, so your money is committed weeks before the goods arrive. Agree payment terms in writing and check them against the safest options for your country.
