How to buy tiles directly from a factory in India

Buying tiles directly from a factory in India can cut out middlemen, but it adds work. Here are the pros, cons and practical steps, and when support helps.

To buy tiles directly from a factory, first prove it is a factory, then work through specification, sample, audit, quote and inspection with it yourself. Direct purchase removes a middleman's margin, but it moves the checking work onto you.

The same steps apply whether you are learning how to choose a tile supplier or how to find tile manufacturers in India.

What are the advantages of buying direct?

You deal with the people who make the product, so you can agree specification, shade rules and packing precisely. You avoid an intermediary's margin, and you have one party to hold to account.

Over time a direct relationship can give you better terms, priority in production and design exclusivity.

What are the risks?

The difficulties are real, and they are usually underestimated:

  • You may not be able to tell a factory from a trader without a visit, see how to tell a trader from a manufacturer.
  • Language, time zones and distance slow down problem solving.
  • You carry the inspection, documentation and logistics yourself.
  • You have no neutral party if the factory disputes a defect or a delay.
  • A small buyer may get low priority behind larger customers.

What are the practical steps?

Use a repeatable method. Shortlist plants that make your tile type in-house, and send each the same specification. Collect written quotes and compare them as in comparing quotes from Morbi factories. Rate each plant on a supplier scorecard.

Then order production samples, audit or visit the leading plants, and place a trial order before committing to a programme. Put grade, shade, calibre, packing, lead time and penalty terms in writing.

When does support help?

Support helps when you cannot visit, when your volume is modest, when you need technical checks, or when you sell to project buyers who will hold you responsible for quality. An agent paid by you can audit plants, check samples and attend loading, while you keep the direct commercial relationship with the factory.

It is still direct buying: you pay the factory and own the contract, and the agent works for you.

How do you protect yourself in a direct deal?

Use a written contract that states the specification, the grade, the packing, the payment terms and the remedy for defects. Pay a deposit that matches the work done, and agree that the balance is released against documents and a satisfactory inspection.

Keep a counter-sample, sealed and signed by both sides, and refer to it in the contract. If a dispute arises, the counter-sample is the reference both parties agreed.

If you decide to use support later, you can bring an agent in at any stage without changing the commercial relationship. The factory still invoices you, and the agent only checks, reports and attends on your behalf.
